Description
We are looking for a
hard-working, personable, switched-on individual. You will be required
to cover all the usual PA duties such as typing, diary management,
courier and flight bookings. The role is very varied with both personal
and business matters needing to be dealt with.
It is a fast paced environment with certain days which can be very busy and therefore the candidate must be able to cope under pressure.
Specific Responsibilities;
Key skills and Experience required
Essential:
• Ordinary Diploma in Secretarial Studies / Bachelors Degree in Secreterial Studies and Administration / Business Administration or equivalent, from a relevant institution.
• At least 3 to 5 years in a similar role.
• High ability to multi task and prioritize and work calmly under pressures and high level of attention to details.
• Able to listen and follow instructions with minimum supervision.
• Robust personality, well-spoken and well presented.
• Excellent grammar, good / advanced knowledge of Microsoft Office & letter writing skills.
• Confident telephone manner, energetic and enthusiastic.
• Able to think on your feet, to work as a team player and use own initiative.
• Able to speak fluent Kiswahili and English.
Desirable:
• Previous experience in a fast paced company.
• Gujarati or Farsi or Urdu speaker is a bonus.

Specific Responsibilities;
- Writing letters & emails professionally and accurately with minimal supervision.
- Word processing of letters, memos, agendas, minutes and reports, scanning documents, sending faxes and using the photocopier.
- Diary management for the MD (including electronically, using Microsoft Outlook), also including arranging all appointments and managing a bring-forward system.
- Arranging travel, obtaining all relevant paperwork for trips and providing itineraries.
- To organise meetings and appointments along with writing minutes and action plans, book venues, and make any other arrangements as necessary.
- To answer all telephone calls for the MD and log all calls (time, person, company, message).
- To attend the front office, welcoming visitors – entertaining them and providing them
with relevant information’s and guidance. - To deal with general telephone enquiries appropriately (these may be confidential and sometimes urgent). To ensure that all telephone, email and personal enquiries/callers are responded to promptly and courteously, and that messages are recorded and passed on with minimum delay.
- Organising and setup of conference calls.
- To maintain an efficient filing and record keeping system ensuring that items are readily accessible.
- Assisting the MD as required.
- Assisting in certain project / research work that may be required from time to time.
- Attending meetings and taking minutes.
- To ensure the efficient running of the office.
- To undertake any other similar tasks as the MD or Senior Management team may from time to time determine or the demands of the Company require.
- Some personal/family tasks.
