The Project Management of the Maisha Bora Food Security Programme in Tanzania for the Dirstricts of Longido and Simanjiro is inviting applications from suitably qualified candidates for the position of Administrative Assistant.
Duration of Contract: 1 year with possibility of extension
Duty Station: Arusha
- Background
The Government of Tanzania, in partnership with the Government of Belgium, together are implementing the Maisha Bora Food Security Programme in Longido and Simanjiro districts. Under the overall supervision of the Programme Coordinator, the Administrative Assistant is responsible for providing administrative and accounting assistance to the Programme implementation office in Arusha, including drafting correspondences, taking meeting minutes, compiling documents for steering committee and coordination meetings, maintaining a meeting and travel schedule, making travel arrangements and other accounting related tasks. - Major Office Management Tasks
• Assists in procurement of office supplies and ensures that procurement procedures meet the organization’s and donor policies;
• Assist in running office errands such as Banking;
• Maintain all financial records in Original forms and one copy to be sent to HQ.
• Be responsible for day to day Programme correspondence, information sharing and filing ensuring that appropriate follow-up actions are taken;
• Develop and maintain a filing system for the Programme. This includes recording all incoming plans, budgets and reports and filing them so that they remain in good order in sequence and easily accessible when needed;
• Maintain relations with insurance, security, utility, and telecommunications service providers and ensure that they are paid in time;
• Maintain the office IT equipment and photocopier, ensure regular servicing and maintenance;
• Supervise cleanliness of offices, kitchen and ensure availability of required tools/materials all the time;
• Acts as the store keeper and keep an updated record of all items purchased;
• Provides logistical support required for meetings, workshops, conferences, hotel accommodation and travel;
• Provide efficient and timely support in all administrative and accounting matters, written assignments, and submission of reports;
• Assist the Programme Accountants in preparation of payments as directed;
• Assist projects to prepare and update briefs, records and other documents on project implementation.
• Travel from time-to-time to various locations throughout Tanzania, independently and/or as part of a team, to support administrative and programmatic objectives;
• Any other duties assigned to support specific program objectives. - Qualifications and experience
• At least a Diploma in Office Management or Accounting from a recognized training institution
• Minimum 2 years of experience in project administration assistance or office management.
• Minimum of 1 years working experience with an International organization or NGO.
• Very good command of the Microsoft Office suite of programs such as Excel, Word, and PowerPoint.
• Proficient in written and spoken English and Swahili.
• Able to work with minimum supervision, excellent communication skills and a team player
• Able to work well under pressure and able to work overtime or occasionally go on field trips if required. - Mode of application
