Job purpose:
Providing secretarial, clerical, logistical and administrative support in order to ensure company services are provided in an effective and efficient manner. Ensuring the office and its surroundings are in good condition and are well cleaned to allow operations and daily activities to take place smoothly. Reporting: Reports to Manager - Finance
Key responsibilities:
• Serving as the primary receptionist (answering and directing incoming calls and greeting, directing, and assisting visitors);
• Maintaining contacts register and business cards of all visitors/ clients visiting the company;
• Printing documents, making photocopies, sending faxes, shredding documents etc.
• Organizing and maintaining paper and electronic files;
• Checking requisitions and ensure correctness of the request in terms of items and calculations before sending for approvals
• Assist the Directors, Managers and other staff as requested.
• Coordinating meetings
• Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
• Provides callers with address, directions, and other information.
• Booking appropriate appointments, venues including hotels etc.
• Assist in logistics including arranging for travel and purchasing tickets
• Welcomes on site visitors, determines nature of business, and directs visitors to appropriate personnel.
• Monitors visitor access and issues passes when required.
• Updates appointment calendars.
• Initiates ordering of office consumables such as stationary, cartridges, toners, photocopy papers etc.
• Supporting training and meetings arrangements.
• Ensures the telephone, internet, Luku and water are available at all times.
• Ensures standby generator has fuel and is well maintained at all times.
• Ensures the office premises are properly secure at all times by ensuring there is no unauthorized access.
• Maintaining general office and pantry cleanliness.
• Supports sales and marketing initiatives for the group through various strategies including usage of social media etc.
• Monitor attendance and ensure the attendance sheet is filled at the end of every month
• Performs any other duty as shall be assigned by superiors from time to time.

Qualifications:

Secondary Education with Certificate or Diploma in Office Management and/OR Administration;
At least a one year working experience in a similar position. Knowledge of finance or accounting will be an added advantage,
Good command of English is a MUST
Presentable appearance
